New AI Minutes Feature Overview

The AI Minutes Feature is a new addition to BoardOnTrack’s meetings functionality. If you add a meeting transcript to your meeting’s Documentation field, you will have the opportunity to have ChatGPT-powered AI suggestions to streamline the minutes-taking process. Since AI can be imperfect, we like to think of this as a helpful jumping off point for taking minutes. You’ll be able to accept, edit, or reject any suggestions that are presented, as well as take minutes normally, as you are used to doing. It’s as simple as that!

How do I use this?

Here is a step-by-step guide:

  1. Create your meeting and agenda, as you normally would
  2. During your meeting, ensure a transcript is being generated. Many people utilize software such as Zoom, Microsoft Teams, Google Meet, etc. to record their meetings and generate transcripts.
  3. Ensure your transcript has “Transcript” in the title of your document and that it is in the following formats: PDF, TXT, Word.
  4. Add your transcript to the Documentation field in the meeting you will be taking minutes for:

5. Go to the Minutes Field and select ”Start Taking Minutes”

6. Select the AI Icon:

7. Ensure the right document is selected from the Documentation field and select Generate:

8. Wait as the system begins generating suggestions:

9. Begin Accepting, Editing, or Rejecting the suggestions. (If you don’t see any suggestions, use the AI icon once more and select Generate) 
 
You can edit the suggestion before accepting it by hovering over the item (as usual) and selecting the edit icon. You can also move any of the items and suggestions around as needed by hovering over the suggestion and using the using the up and down arrows. 10. Enjoy this more streamlined approach to minute-taking!
