This article will explain how to set up your board and your users for signing agendas and then how to use the signing feature.
Getting Set Up
It takes two simple steps to get your board ready to use agenda signing. You must be a BoardOnTrack admin to perform the set-up steps.
Enabling Agenda Signing for your Board
First, enable signing for your board. Click on Admin in the left sidebar as shown below and then on Configure meeting options. Once there, click the SIGN AGENDAS checkbox and be sure to hit the Save button at the bottom of the screen.
Enabling Agenda Signing for your Users
Next, set up any users who will be signing agendas. To do this, click Admin as above and then choose Add/remove people or change their permissions. Once there, find the user you wish to enable for signing and edit that user using the actions menu on the right as shown below.
Once on the edit screen, click the Change Permissions button in the right sidebar and then click the SIGN AGENDA checkbox as shown below. Then click save.
Signing An Agenda
The signing option will become available for enabled users when the agenda is in the Final or Packet Ready status (yellow box). Draft agendas cannot be signed. To sign an agenda, simply click the Sign button on the right.
You'll be greeted with this screen. Type or paste any text you with to accompany your signature and then click the blue Sign button.
And voila! Your agenda is signed. You will receive a copy of the signed agenda in your email and as shown below, the agenda screen will clearly show that you signed the agenda.
Note also that you can upload a custom signature in your preferences.
Keep in mind that any edit of the agenda will remove the signature and the agenda will be unsigned again. Use the Attach Materials button instead of the Edit button to add attachments to your agenda without invalidating the signature. Users will see a warning if they try to edit a signed agenda. After the warning, they can choose to proceed and invalidate the signature or to return to the view screen.
Your PDF and published agendas will have your signature and your associated text at the end as shown below.
