Starting a Board Assessment
An Assessment Coordinator is permitted to manage the Board Assessment process. This link explains how to assign the appropriate person and who it should be.
To run a Board Assessment go to "Assessments -> New"
Enter a name for the Board Assessment run, that board members will understand. As an example, provide the timeframe or date that the assessment covers.
Select Start assessment and decide if there are any sections that aren't relevant to your team at the moment. We recommend launching the fully survey, with all of the topic selected to get a full assessment of your board.
Requesting Board Members to Complete Assessments
Once you select OK, you will be brought to the assessment dashboard. From there, select the Participants tile. Then, select the "Add people button" and add all board members and CEO to participate. Select "Send".
Once you select "Send" to send the email, the board members and CEO who are listed in the assessment as participants will receive the email with a link to the assessment. The participants will also have a link to the survey on their dashboard under "My Action Items"
At any time, you can go back into the Participants tile and Send reminders with a custom note, providing direction on when the assessments are to be completed by, and then click "Send".
You can then see when assessments were last requested by hovering over the Send Reminders button.
Setting and checking who is included in the Board Assessment
When you start a new Board Assessment, users who are identified as board members and the CEO should be added to the assessment.
To see who is currently part of the assessment check the "Participants" list.
Adding users to the Board Assessment
If you need to add a board member who was not included when you first started the Board Assessment you can add them. You can simply go back into the Participants tile as described above, select Add People and choose the user you'd like to add.
Removing users from the Board Assessment
If there is somebody who is no longer a board member and they had not been removed from your board account when the Board Assessment was started, you can remove them.
Note: If a person has completed any of the assessments and you remove them from the assessment run, their scores will be excluded from the report.
Note: Do not use the Add/Remove function if you are assessing the board with new assessments after changes in membership or development. Close the assessment and start a new one.
Who has completed and Sending Reminders
To see who has or has not completed the assessment click into the Participants tile and under each user it will state if it is "Not Started" or "Finished".
To send a reminder to who hasn't completed assessments that they have been requested to do click "Send Reminders".
The users who have not completed requested assessments will be the recipients of the email. Add a custom note to the email providing direction on when the assessments should be completed by, and then "Send".
Finalizing Board Assessment Run
Once you have all the assessments completed by the board members and the CEO, "Close" the Assessment. This now provides you with a record of your board's capabilities at the time of the assessment.
