Introduction
Welcome to BoardOnTrack's January release notes. This article introduces the addition of intentional areas to accomplish committee work and full board work, and improvements to the goals meetings features. No functionality will be lost in this release, but access to and views of the important features most used by our members will be allocated in a more helpful, cleaner way. The features described in this article will automatically appear in your BoardOnTrack app once released.
These are the new features available in this release:
- Committees and full board home pages
- Board Goals tracking
- Full school year view of meetings
- Sleeker, easier-to-read Goals and Tasks tracking
New Dashboards for Your Committees and Full Board
The screenshot below shows what your Dashboard will look like with the enhancements. There are new Board and Committee tabs at the top left of the screen. The Meetings tab is still available as usual, it now sits just below the dividing line.
The Full Board's Dashboard
In this release, we have added a full Board page that allows you to easily see and manage your board in an easy-to-read at-a-glance view. Each heading is a link that will bring you directly to each useful feature to view more of what your team has created. You can also use the Create button in the top right of the page to create a new meeting, goal, or post, right from the page. Lastly, at the top of the page, you'll see a handy attendance report, so your team can hold itself accountable.
Board Meeting Attendance
This graph is pulled from the Board Engagement Report in the Reports tab. If you have a full membership, you'll be able to dig deeper in this report. The attendance is calculated based on the attendance taken in meeting minutes.
Meetings
This Meetings card will show the most recent board meeting and the next (up to) 2 upcoming board meetings. When you select a meeting, you'll be brought directly to that meeting's detail page. When you click View All, you will be brought to a full list of meetings for the entire school year.
Goals
In this card, you'll see (up to 5) board goals and the amount completed and not completed. When you select View All, you will be brought to all Board goals listed where you can drill into each goal and view all tasks associated with each.
Posts
In this card, you can view the most recent board post. When creating a board post, you can choose to notify all board members via email, as well as have it appear on this home page. When you select View All, you will be brought to all past and recent board posts.
Members
You can view all board members and their roles. When you select Members, you will be brought to the Board Of Directors page in the Directory.
Create
When you select the Create button, you will be given three options: add a new board meeting, add a new board goal or add a new board post.
Committee Dashboards
In this release, we have added a Committees tab that brings you to a view of all Committees. If you are on a committee, the page filters your committees to appear at the top for ease. At the bottom of the page, you can view all deactivated committees.
When you select a committee, you will be brought to that committee's dashboard, where you can easily see and manage the specific committee, all in one place. Just like with the Board page, each heading is a link that will bring you directly to each feature to view more of what your committee has created. You can also use the Create button in the top right of the page to create a new meeting, goal, or post. Lastly, if your permissions allow it, you can use the three-dotted icon to edit committee members, change the name of the committee or deactivate it.
Meetings
This Meetings card will show the most recent committee meeting and the next (up to) 2 upcoming committee meetings. When you select a meeting, you'll be brought directly to that meeting's detail page. When you click View All, you will be brought to a full list of that specific committee's meetings for the entire school year. This committee-specific meeting list is a new feature for this release.
Goals
In this card, you'll see (up to 5) committee goals and the amount completed and not completed. When you select View All, you will be brought to the committee's goals list, where you can drill into each goal and view all tasks associated with each.
Posts
In this card, you can view the most recent committee post. The committee posts are a way of communicating amongst your committee members. When creating a committee post, you can choose to notify committee members via email, as well as have it appear on this home page. When you select View All, you will be brought to all past and recent committee-specific posts.
Members
You can view all committee members and their roles. When you select Members, you will be brought to the Committee's page in the Directory.
Create
When you select the Create button, you will be given three options: add a new committee meeting, add a new committee goal or add a new committee post.
...
When you select the three-dotted icon to the right of the Create button, you can edit committee members, change the name of the committee, or fully deactivate the committee. Only those with certain roles and permissions can view and access this: BoardOnTrack Admins, Board Chair and Board Vice-Chair, and Chairs of any committee.
Meetings
You asked, and we listened! The Meetings page has been enhanced with a view of all meetings scheduled for the school year. In the past, the view was monthly. Also, to make it easier to review each meeting's details, you will see a new collapsed view, where you can click on the down arrow to view more of the details of the meeting, streamlining your view and search. When you click into the meetings tab, it will auto-scroll to the upcoming meeting.
Below is an example of what the page looks like.
Goals
The goals section has been updated to be a cleaner, sleeker view of the important work your committees and your board are accomplishing. We redesigned this feature to have an initial view of what has been or has not been completed through a checked list. The overdue goals are rolled up for easy viewing. Also, by popular demand, we have added a place to add and manage overall board goals! Board goals are rolled up at the top of the page and function the same as committee goals, so no need to learn a new tool.
When you select a committee, the goals will be laid out as before, so you will be able to see when they were last updated and how many tasks have been accomplished.
